VDMA Guide: Introduction of a Content Management System for technical documentation

The number of Content Management Systems available on the market is constantly increasing. Anyone who has recognised the benefits of Content Management Systems and wants to introduce one is faced with the difficult task of selecting the right system. In order to facilitate this, the Department of Computer Science in the VDMA has published a new guideline in cooperation with kothes.

The industrial working group "Content Management Systems" of the VDMA has developed the guideline "Introduction of a Content Management System in Technical Documentation". The guideline sensitises managers to the problems in technical documentation and points out reasons for introducing Content Management Systems.

The core of the guide is to support companies in choosing the right Content Management System. It also contains important tips on how to proceed when introducing a Content Management System. Even critical considerations are not lacking. Here the guideline presents "stumbling blocks" of the system introduction and shows ways to overcome these hurdles.

The VDMA guidelines deliberately do not contain any information on the systems available on the market. For the comparison of different systems, however, the guideline contains a decision matrix which the VDMA provides for download in Excel format. This matrix contains numerous system requirements in the areas:

  • Front-end usability

  • Module management

  • Possibilities of the Editor

  • Version management

  • Creating publications

  • Translation Management

  • Graphics and media management

  • Administration

  • Technology

  • Competence of the supplier

Each individual requirement can be prioritised individually. In the selection process, points should be awarded for the individual requirements of the systems under consideration. Finally, there is a clear summary which shows the total number of points per system determined by the tool. In addition, the system costs can be entered here, so that a perfect overview for the selection of the suitable system results.
