Terminology process in technical editorial projects

As part of our technical editorial projects, we use efficient terminology processes to lay the foundation for uniform terms right from the start, thus ensuring that the content is easy to understand.

Depending on your terminology requirements, you can choose between three expansion levels.

Stage 1 Standard process
Stage 2 Cooperation in registration and maintenance
Stage 3 Use within the company

Stage one: Standard process

The standard process is carried out by us for each technical editorial project. There are no additional costs for you.

During this process, our employees compile the terms in a customer-specific database, select, validate, clean, proofread and finally release them.

The customer-specific database is linked to our Content Management System so that terminology is checked during the technical editing process.

The released terms are made available to the Translators and transferred to the target language.

In follow-up projects, the customer-specific terminology database is maintained and updated.

Most of the work is done by the Technical Editor. He or she is supported by the Project Manager, the employees from Quality Management and Proofreading as well as by appropriate tools.

Your advantage:

  • Consistent terminology in documents created by kothes staff

  • Quick training of new kothes employees

  • Shorter meeting times due to fewer misunderstandings and queries

  • Increased efficiency in translation, proofreading and technical editing

  • Increasing the linguistic quality of the end product

Stage two: Cooperation in registration and maintenance

In Stage 2, we include one of your employees as the Terminology Manager in the approval process for the terms. We will set up web access to the terminology system for you. Stage 2 is subject to a fee and is billed via a monthly access fee.

After the term candidate has been validated by the kothes Project Manager, the term candidate is submitted to your Terminology Manager for review via automated notification. The person responsible for terminology can then correct, comment on or release the term in the web portal.

Then the proofreading and approval is carried out as in Stage 1.

You can also book other services:

  • Extraction of terminology from existing documents

  • Cleansing of existing terminology databases and translation memories

  • Support of your technical editorial staff in the cooperation with other departments (e.g. through workshops)

Your advantages:

  • You are involved in the decision-making process of a nomination (preferred/prohibited).

  • You can manage the company's internal terminology coordination process and thus ensure that the selected terms are supported by all relevant bodies.

Stage three: Use within the company

In Stage 3, you also have the option of using the terminology throughout your company and, if necessary, setting up your own terminology processes. Here, too, the costs are covered by a monthly flat rate, which we calculate according to the individual service package.

We provide your employees with access to the web portal of the terminology system for the use of terminology within the company. Here you can search for names and find the right "tone". Furthermore, your employees have the opportunity to propose term candidates, which then go through the validation process.

In a workshop, we start by developing the terminology validation and translation process that is right for you.

You can also book other services:

  • Conception and development of an individual terminology process

  • Setting up specific workflows in the terminology tool

  • Development of individual test tools for the systems you use, so that your employees can test texts in their familiar environment

Your advantages:

  • Individual and accurate terminology process

  • Workflow-supported, company-internal terminology coordination process

  • Company-wide use of terminology for maximum consistency in corporate communications
